CONVERTW

CONVERTW uses standard dBASE format data files.  Most major software programs (Excel, Access) allow you to save an existing file in dBASE format.  If you use an existing file, the import structure must fit within the specifications expected by CONVERTW (i.e. field names, field type, size limitations, etc.).   

For a small fee, ACEware Systems can format your third party mailing lists into the standard import format if you are unable to yourself.  For more information, contact your ACEware systems technician.

Once you have properly formatted and saved your dBASE file, you’re ready to run CONVERTW:  

1. Get everyone out of Student Manager, including yourself!  You cannot run CONVERTW when people are using the system.  
2. Make a backup of your Student Manager data.
3. Navigate to your Manager7 directory and locate the file CONVERTW.exe.  Double click it to start the CONVERTW program.
4. Click the Continue button on the CONVERTW window:
5. Select Mail List (stock dBASE format) from the Data Import window then click the OK button:

6. The New Names Import Routine window opens with suggested import options.  Click the Continue button to continue.
7. The Windows Open window opens for you to select your dBASE file.  Navigate to the appropriate folder and select the file.
8. You are given the opportunity to select ConvertW options.  Select the appropriate ones.

1. Select the appropriate option on the Missing Dates window.
2. Select the appropriate option on the Source Code window.
3. Select the appropriate option on the User Defined Fields window.
4. Select the appropriate option on the Adding/Changing Interest/Mail Codes window abc.
5. Select the appropriate option on the UPPER/lower case window.

9. CONVERTW then imports your data while displaying a progress window.  When it’s completed, a window will open telling you how many records were imported.  Click the OK button to proceed.
10. The New Names Import window will open again (step 6 above).  Click the Quit button to quit CONVERTW.

When importing names, CONVERTW only watches for duplicate ID #s.  If it finds a name in Student Manager with the same ID as the record it’s importing, it WILL NOT import the new name.  However, CONVERTW doesn’t check spelling matches on names.  Therefore, after you run CONVERTW, you should run the Duplicate Name Check routine in UTILITYW.
