Unlimited UDFs

Set an unlimited number of user defined fields (UUDFS) for the Names, Course, Instructor, and Register tables.

You must define your unlimited UDFs before you can use them. To do so:

  1. Open the Preferences screen.
  2. Select the appropriate Preferences tab, i.e. Names, Course, Instructor, or Register.
  3. Click the tab's UDFs button (e.g. Name UDFs, Course UDFs, Instruct IDFs, or Register UDFs). It is located in the lower right of the tab.
  4. Click the Additional UDFs button on the User Defined Field Setup window.
  5. This opens the Define Unlimited UDFs window.

  1. To add a new unlimited UDF, click the Add button.
  2. Enter a name for the UDF. Enter in all lowercase, with underscores instead of spaces. Any symbols other than underscore will be removed.

  1. Define the field type:
    1. Character - can contain any combinations of characters or numbers
    2. Numeric - can only contain numbers
    3. Boolean - logical true or false (checkbox)
    4. Date - date field (mm/dd/yyyy)
    5. Memo - a virtually unlimited memo type field for storing large amounts of text
  2. Choose the field style:
    1. Regular - an open text box
    2. Dropdown - a dropdown list (must define values in the dropdown code column)
    3. Memo - large text box with scroll bar and expandable view/edit mode
  3. Dropdown Code (used when field style is set to D - Dropdown)
    1. name your dropdown code. The code must contain the word udf (for example: tshirtudf, udf_pants_color)
    2. double click the dropdown code after naming it, this will open the add code screen
    3. create your defined values for your dropdown list by entering their codes and descriptions

  4. Set or change the order (optional).
  5. Click OK/Close to close the Define Unlimited UDFs window.
  6. Click OK/Close to close the User Defined Field Setup window.
  7. Click OK/Close to close the Preferences window.

You are now ready to use your Unlimited UDF.

To enter data in the Unlimited UDF field:

  1. Open the appropriate Name, Course, or Registration record.
  2. Select the Additional Info (UDFs) tab.
  3. Click the Additional UDFs button.

You can pull in the values of your unlimited UDFS using these new functions:
